About the Department
The University of Chicago’s Crown School of Social Work, Policy, and Practice seeks an Associate Academic Affairs Professional to provide administrative support for all faculty and academic recruitment, retention, and promotion actions at Crown Family School. This position would facilitate searches for new faculty and other appointees, development of offers of appointment, onboarding of new appointees, reappointment and promotion of faculty and other academic personnel (to include union academics), leaves, retirements, and other departures. As the quality of our faculty is key to our stature as a University, the position is critical and challenging -- but rewarding. We seek applicants who can master the intricacies of academic affairs, handle multiple tasks and daily learning, interact cordially with diverse stakeholders while encouraging compliance with pertinent policies, respect confidentiality, and communicate helpfulness and understanding.
Provides direct administrative support to the Faculty Search Committee, manages and documents faculty and other academic appointee searches using the University's applicant tracking system, and coordinates all faculty and academic candidate visits.
Provides direct administrative support to the Promotion, Retention, and Tenure Committee.
Assumes comprehensive responsibility for the drafting, review, assembly, and submission of electronic and paper materials in support of departmental appointive actions.
Process job postings for faculty and other academic appointments.
Onboards faculty, other academic appointees, postdoctoral researchers, and academic visitors.
Processes visa materials, working with the University's Office of International Affairs.
Serves as a resource to faculty and faculty administrative leaders on University policy and process matters.
Utilizes oral and written communication skills to promote and ensure efficient processing compliance.
Drafts correspondence on faculty and other academic appointee matters on behalf of the Dean and Deputy Deans.
Prepares and presents analyses, reports, and marketing materials to a wide variety of both internal and external audiences. Participates and contributes on a variety of committees/teams and with a diverse array of colleagues and partners.
Conducts research and data gathering (e.g., Internet research, surveys), project planning, and implementation for a wide range of projects.
Performs other related work as needed.
Education:Minimum requirements include a college or university degree in related field.
At least five years relevant post-college work experience or at least eight years of progressively responsible work experience in academic affairs.
Licenses and Certifications:
Advanced degrees and/or advanced training/certification in academic or general Human Resources.
Strong attention to detail, and competence to manage multiple priorities and respond effectively with limited guidance.
High degree of organization and follow-through.
Excellent written communication skills.
Excellent interpersonal and customer service skills.
Ability to handle sensitive and confidential situations and information with absolute discretion.
Ability to maintain calm and courteous demeanor and to work productively despite heavy workload, competing priorities, complex problems, and tight deadlines.
Excellent problem-solving skills; ability to work independently and with minimal direction.
Proficiency with Microsoft Word, Excel, Acrobat Pro, and Interfolio; Workday preferred; willingness and ability to learn new technology.
