Job Description Summary

The Department Manager oversees the day-to-day operations of the Biology Department and supports its research, resources, and outreach programs. This strategic position reports directly to and works closely with the Chair of the Department and is responsible for the administration of all non-academic services, operations, and special programs of the department.
Duties include ensuring smooth operation of facilities, responding to emergencies, managing departmental resources (shared equipment, etc.), supervising assigned staff, and handling all faculty, postdoctoral, and human resources affairs. This position will be responsible for the high-quality delivery of services across the department and ensuring that all Penn and SAS policies are followed appropriately. They will also maintain backend databases to help support timely and accurate reporting on various topics as needed.

The Department of Biology in the School of Arts and Sciences builds upon the school's internationally recognized research and education program to meet the goals of preparing students and discovering knowledge. The department includes all basic biological sciences including ecology and evolution, plant sciences, molecular and cellular biology, genomics, quantitative biology, and neuroscience. We value interdisciplinary collaboration and collegiality, and strive to integrate biology across scales, from molecules to social assemblies; across technologies, from nanoengineering to robotic vision; and across approaches, from laboratory experiments to data modeling; to transcend the traditional boundaries of biological studies. The Department Manager will oversee the day-to-day operations that support the missions of the department. This position reports directly to and closely with the Chair of the Department and will be responsible for the administration of all non-academic services, operations, and special programs of the department. Duties include communicating and coordination with facilities to ensure the smooth operation of the biology complex buildings, responding to emergencies, managing departmental resources (shared equipment, etc.), supervising assigned staff, and handling all human resources procedures. This position also manages faculty affairs and all postdoc appointments for the department. The manager is expected to support strategic decisions, independently execute planned programs, assist in official communications, liaison with external offices, and help create new programs.

The position requires a BA/BS with at least 3-5 years of experience or equivalent combination of education and experience. 5-7 years of experience in an academic environment strongly preferred. Must have excellent verbal and written communication, project management, and analytical skills. Other proficiencies include office systems (MS Word, Excel, Powerpoint), personnel management systems, and purchasing and inventory systems. Ability to manage webpages and social media is desirable. We have a growth mindset and are willing to train ambitious individuals who want to expand their current skill sets, learn new management techniques and engage with the Penn community. Occasional hours outside of the normal works schedule may be required for events or responding to emergencies.

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
