Job Description Summary

As Periodontics Department and Academic Manager, independently manage coordination of faculty onboarding and administration which includes part-time, full-time and associated statuses. Prepare appropriate paperwork and scheduling for all faculty actions including appointments, reappointments, promotions, and departmental staffing searches. Serve as Periodontics departmental liaison with faculty, staff, students, and other University of Pennsylvania office personnel as well as external clientele. Schedule meetings and events and participate in meetings as required. Prepare correspondence, reports, etc. for Department Chair and Program Director. Handle complex calendar management and scheduling of Postdoctoral Program Director and Chair. Oversee departmental financial activities including purchasing, reimbursement, memberships, monitoring expenses, processing and follow-up of payment.

Job Description

  • Act as Periodontics department liaison with faculty, staff, students & various Penn stakeholders. Manage calendar for Dept. Chair & Program Director. Maintain academic calendar for postdoctoral program. Respond to department inquiries and provide general administrative support when needed.
  • Manage coordination of faculty onboarding & administration (variety of part-time, full-time, visiting statuses). Prepare appropriate paperwork & scheduling for all faculty actions including appointments, reappointments, promotions, & dept. staffing searches. Process H-1B & J-1 Visa applications for international faculty & visiting scholars. Coordinate & schedule interviews with postdoctoral program applicants. Prepare transfer letters, letters of good standing, & letters of completion for postdoctoral residents.
  • Coordinate & organize orientation for incoming postdoctoral students, fellows, & scholars. Manage Periodontics Externship Program. Schedule lunch & learns, in-services, & specialty trainings for postgrad residents. Schedule postdoctoral guest lectures. Coordinate & manage American Academy of Periodontology (AAP) in-service & Oral Board Exam. Independently plan logistics for Tri-School Symposium & Periodontics Graduation.
  • Develop reports, track trends and metrics for Periodontics programs & associated projects. Maintain tracking of resident didactic progress. Prepare correspondence and progress reports of residents on academic probation; schedule meetings between residents & probationary committee; schedule review meetings. Prepare, distribute, & process student & faculty evaluations on a bi-annual basis, as well as progress reports.
  • Monitor expenses, supply inventory & prepare purchase orders. Process Concur reimbursements, travel arrangements, and conference logistics on behalf of faculty.
  • Other duties as assigned.


Bachelor's Degree with 2-3 years of related experience or equivalent combination of education and experience is required. Previous budgeting and forecasting experience. Ability to multi-task. Strong accounting skills and knowledge of Penn's financial systems a plus.
