Cooley is seeking a Business Intake & Conflicts Specialist (Laterals) to join the Business Intake & Conflictsteam.

Position summary: The business intake and conflicts function is essential to the Firm's (1) compliance with (a) ethical obligations prevailing in jurisdictions in which the Firm maintains offices and in which it practices and (b) the Firm's Risk Management policies and procedures, (2) avoidance of malpractice claims and ethical violations, and (3) ability to onboard new business, in the form of new clients and new matters for existing clients, new timekeepers and new employees in a timely fashion.

Working closely with the Associate Director of Conflicts, other Directors and Managers of the New Business, Lateral, and Operations teams as well as the Conflicts Staff Attorneys, the BIC Specialist (Laterals) is responsible for participation and research related to department initiatives. This includes, assisting with case law research, policy and procedure drafting and editing cycles, lateral candidate submission coordination and operations function. The BIC Specialist will serve as a flexible resource, cross-trained throughout the department to assist in areas of need. Specific duties and responsibilities include, but are not limited to, the following:

Position responsibilities:

Primary Laterals:

  • Review incoming firm wide attorney, paralegal and staff conflict check submission forms
  • Create lateral folders
  • Update lateral spreadsheets
  • Communicate with recruiting/HR, attorneys and other department members regarding lateral Intake
  • Help maintain cross-reference database
  • Run conflict reports, as needed
  • Run and clear contract attorneys, as needed

Primary New Business:

  • Monitor the BIC inbox and respond to secretary, practice team assistant and attorney inquiries regarding the status and state of their requests
  • Communicate with secretaries, practice team assistant, attorneys and other business professionals regarding new business
  • Run conflict reports, as needed

Operations:

  • Process and quality control assigned intake review queue's ensuring accurate and complete information for upload
  • Assist with the review and filing of waiver and engagement letters
  • Complete final party linking, as assigned

Other:

  • Provide training to all BIC new hires on various systems and tasks as necessary
  • Lead and manage BIC system and information clean-up projects, providing direction and guidance to temporary resources to carry out and complete respective projects
  • Understand the American Bar Association (ABA) Model Rules of Professional Conduct as adopted in each state in which the Firm maintains an office, and jurisdictional differences in all states, countries and practice areas in which the Firm conducts business
  • Conduct research projects as assigned relating to conflicts of interest, operations and project issues
  • Conduct research projects on corporate affiliations and corporate relatedness
  • Assist with ethical screen database clean up
  • All other duties as assigned or required.

Skills and experience

Required:

  • Proficiency in the Microsoft Office suite, iManage and other firm applications
  • Available to work overtime, as required
  • 3+ years direct applicable years' experience (e.g., previous BIC department, legal secretary, paralegal or executive assistant)
  • Strong computer skills

Preferred:

  • Bachelor's degree
  • Paralegal certificate
  • Experience working in a law firm or other professional services environment

The expected hourly pay range for this position is $32.00 - $47.00/hour. Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
