Position Summary
Reporting to the Chair of Philosophy and Theology, the Department Administrator is the primary point of contact for administrative matters in the Philosophy and Theology Departments.
The Administrator maintains the departments’ operational needs, supervises student workers, and supports students and faculty. They provide administrative support to the Chair, Associate Chairs, and Graduate Director and collaborates with other staff in overseeing office procedure development and implementation.
Essential Functions
- Maintains department operations and administrative policies, including reports and committee activities.
- Researches and synthesizes information for decision-making, providing analysis and recommendations to the department chairs.
- Assists in developing annual and long-term administrative objectives and programs for the department.
- Interprets and ensures adherence to university and school policies, serving as an information resource for faculty, staff, and graduate students.
- Helps monitor the departmental budget, analyzing expenditures, forecasting needs, and reviewing expenses.
- Prepares and analyzes financial reports while interpreting university fiscal policies.
- Maintains departmental academic processes for undergraduate and graduate levels, including recruitment and graduation of graduate students.
- Coordinates materials and communication for doctoral proposals and defenses, maintaining candidate records.
- Assists with new faculty orientation and supports faculty reappointment, tenure, promotion, and fellowship application review processes.
- Develops, plans, and manages departmental program activities and events.

Management Responsibilities

Required Qualifications: Education and Experience
- Bachelors degree
- Minimum of 2 years of administrative experience or a fast-paced academic or professional setting.

- Demonstrated independent, proactive approach to responsibilities, planning, and project and event management. Ability to take initiative.
- Excellent relational skills, a collegial disposition, and ability to work collaboratively with staff and supervisors.
- General computer proficiency – ability to work with documents and spreadsheets.
- Excellent organizational skills, attention to detail, and accuracy.
- Excellent judgment, diplomacy, and discretion are necessary in handling confidential and/or sensitive materials.
- Good at solving problems and dealing with emergencies.
- Strong interpersonal and communication skills.
- Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.
Minimum Starting Salary: $62,640
Maximum Starting Salary: $62,640
Note: Salary is commensurate with qualifications, experience, and skills.
