Human Resources/Payroll Coordinator
Job Description
The Whiting School of Engineering is seeking a Human Resources / Payroll Coordinator to join our HR team providing administrative and clerical support for the day-to-day operations of the HR department. This position will report to the Assistant Director of HR Operations and provides basic professional human resources and personnel support to the faculty, staff, and students in the Whiting School of Engineering. This role supports their HR team in payroll related issues and may at times need to interpret and communicate policies and procedures. The HR/Payroll Assistant is responsible for performing duties of a sensitive and confidential nature.
This position will support the team that provides employment and payroll support services to NIST faculty and postdoctoral fellows. This position will ensure payroll compliance with University policies and procedures while providing both accurate and timely payroll processing and routine customer-focused HR support to division.
The position responsibilities consist of payroll operations including, but are not limited to, serving as a contact for payroll inquiries, providing written and verbal responses, and resolving problems with a customer friendly attitude in conjunction with the hiring department. This position will also provide divisional and University procedure interpretation and skilled guidance to employing departments on payroll policies, employment guidelines, and regulations relating to student payroll.
This position is deadline driven and operates in a fast-paced environment. The successful candidate must have the ability to work at a rapid pace, remain calm and focused under demanding conditions, be comfortable working as part of a team and able to provide excellent customer service, as this is a student-facing support position that will coordinate payroll administration activities.
Specific Duties & Responsibilities
- Serves as primary point of contact for employees, faculty, staff, students, post-doc, fellows for all payroll-related matters, including new hire documentation and weekly timesheets for hourly employees.
- Maintains an active up-to-date knowledge of payroll practices and SAP procedures and educates others in the department with SAP responsibilities.
- Advises on payroll policies and procedures and works to address all matters in a timely, efficient and accurate manner.
- Assures that payroll is processed timely and accurately. Uses judgement and discretion on corrections and updates to resolve payroll issues for faculty, staff and students.
- Maintains system to track faculty and staff payroll information and generate reports to members of school leadership, as requested.
- Implements system to monitor and resolve payroll issues, including supplements, merit increases and termination. Works to proactively monitor and retrieve overpayments.
- Prepares overpayment reconciliation and letters. Coordinates collection and repayment plans.
- Coordinates actions with HR Shared Services to meet special needs of the School and the departments.
- Coordinates logistical details related to SAP Internal Service Requests (ISR) and serves as primary processor of those transactions.
- Reconcile payroll discrepancies in consultation with hiring managers and supervisors and assist with overpayment recovery actions.
- Maintain effective and proactive communication with faculty, staff, and student workers as necessary.
- Create and runs reports.
- Work with payroll team members to maintain consistent business practices.
- Other duties as assigned.

Minimum Qualifications
- High School Diploma or graduation equivalent.
- Three years experience with coordinating payroll and/or human resources administration activities.
Preferred Qualifications
- Prior experience with SAP software.
- Strong computer skills and proficiency in Microsoft Suite (Word, Outlook, Excel).
- Knowledge of SAP and Microsoft Teams, a plus.
